Free vs paid AI policy template: which does your UK business actually need?

Search for an AI policy template and you will find plenty of free ones. So the honest question is not “free or paid?” in the abstract, but “which does my organisation actually need?” Here is a straight answer, including when a free template is the right call.

When a free AI policy template is enough
Sometimes it genuinely is. A free template is a sensible choice if:
- You are a very small organisation (a handful of people) that mainly needs a clear, written statement of the ground rules.
- You have someone who can adapt it to UK rules and your own situation.
- You want a placeholder today while you work out what you really need.

Where free templates fall short
The limits show up quickly as an organisation grows or its risk rises:
- They are often generic and US-flavoured. Many miss UK GDPR, the ICO and your sector regulator entirely, which is the part that actually keeps you out of trouble.
- They are a single document, when you need a small system. A policy on its own does not tell you which tools are approved, how to assess a new tool’s risk, or how to record a decision. That is why staff still end up guessing, which is how shadow AI takes hold.
- They go stale. AI rules are moving fast right now, and a document downloaded once and forgotten drifts out of date.
- They are not sector-aware. A school, a charity and an accountancy practice carry very different duties, and a one-size template covers none of them well.
