1. Purpose

{{Charity Name}} ("the charity", "we") recognises that artificial intelligence (AI) tools can improve fundraising, administration and service delivery. This policy sets out how AI tools may and may not be used, so that we capture those benefits without creating unacceptable risk to beneficiaries, donors and supporters, staff and volunteers, or our legal and regulatory obligations.

This policy exists to help people use AI confidently and safely. It is not here to ban it.

2. Scope

"AI tools" means any system that generates, analyses, classifies, predicts or transforms content using machine learning or large language models. It applies however the tool is reached: a website, a desktop or mobile app, a browser extension or plug-in, a model running locally on a device, an assistant built into an operating system, or a direct API connection.

Before anyone, staff or volunteer, puts anything into an AI tool, they should know what kind of data it is. These examples are written for charities.

  • Public

    Examples: Published campaigns, public web pages, your annual report and accounts.

    Rule: Fine in approved tools.

  • Internal

    Examples: Draft communications, general templates, non-sensitive notes.

    Rule: Fine in approved tools that do not train on your inputs.

  • Confidential

    Examples: Financials and reserves, grant bids, contracts, board and trustee papers.

    Rule: Only in tools approved for confidential data. Never free or personal tools.

  • Donor and supporter data

    Examples: Names, giving and Gift Aid history, event attendance, volunteer records.

    Rule: Only in tools approved for personal data, with a DPA, and in line with what supporters expect.

  • Beneficiary, special category and safeguarding

    Examples: Service-user and case records, health, safeguarding, anything about a vulnerable person.

    Rule: Never in AI tools. Secure case-management and safeguarding systems only.
